Module 3. Building book. Maintenance Plan with business management

The business management module allows the management of various buildings or urban spaces through a common database of companies; it also has some own tools for managing multiple buildings or urban spaces.

The main functions of this module are:

To generate a historical record of all movements where all modifications, removal or addition of information within the plan will be reflected; a comment that justifies the reason for the change can be entered and, if necessary, the name of the person or persons that have carried it out.

To determine the following aspects for the operations of the maintenance plan: type of operation, responsible for its execution, category of the person responsible, obligation, existence of certification, frequency, quantity, unit of quantity and cost.

To generate schedules, annual or multi-year, where the sequence of maintenance works over time can be observed graphically. On the same screen, changes can be entered, both in terms of time periods of the operations and the scheduled dates of realization.

To control the different types of preventive maintenance operations (compulsory, certified, recommended) to be carried out in a building and to know their status at any time, that is, whether they have been carried out within the established deadlines; whether they have been carried out ​​after the deadline, whether they are pending realization, whether they have been appropriately justified, etc.

To generate automatically, from the constructive description, the technical specifications for contracting and / or implementation of the preventive maintenance of the various subsystems that compose the building. In general, the specifications define the scope of application, the technical standards of reference (either mandatory or recommended) and the report of operations to be carried out in accordance with the preventive maintenance plan, classified for the person responsible for the implementation.

To control the several operations planned for corrective and preventive maintenance, as well as to display if they are still pending or have been justified.

To consider carried out the operations of preventive maintenance as a whole, if they are hired.

To carry out the monitoring of contracts, (current, after the deadline, terminated), to establish the estimated costs, to control the payments by company, etc.

To introduce modifications concerning the foreseen dates for carrying out the operations on each one of the managed buildings. In existing buildings, and in accordance with inspections carried out, displacements on the scheduled dates can be applied automatically and their status controlled.

For contracts concerning maintenance companies, general data for each one is available. If it is a contract for preventive, replacement or corrective maintenance, you can know which subsystems, or parts of them -for preventive and replacement maintenance- or which corrective maintenance operations are contracted; the initial and final dates of the contract; the contract description, and the actual and foreseen costs. As maintenance operations are being carried out, a monitoring will be followed up, so that all data will be reflected in the calendars (both of realization or justification of operations and of payments made).

Similarly, other data of contracted companies will be shown such as state of contracts (current, extended or terminated). Regarding the monitoring of foreseen payments, the application allows entrance of PIB applicable for the following year of the plan, and close the natural years on which real and foreseen cost control has been carried out.
